Basic Search
- Before you begin, you need to know the three Panes that the Item Search screen uses. Click on the picture to the right for a description of these panes. Then hit the Back button on your browser to return to this document.
- In the Search for box, enter your search terms.
- In the Index box, select the search index you want from the drop-down list.
- If you want to narrow your search to a specific library, select the branch from the Library box drop-down list.
- Choose your Type of search. Select either Keyword, Browse, or Exact.
- Keyword searches for all the words you have entered. This uses boolean logic (see Item_Searching,_Strategies)
- Our sample search is all the kings men.
- The results for our example Keyword search all the kings men will retrieve the item titled Elvis all the kings men. If an Browse search type would have been used, the Elvis title would not have been included.
- Using a Keyword search to look for the book 1984 will return many results. Using the Browse search will work better.
- Browse produces a list in the alphabetic vicinity of the term you typed, and from that point you can browse forward or backward in the list.
- This type of search resembles the type of search we are probably used to. Click here for further information.
- Exact searches for a field with your search term(s) and nothing more. This option is required to search by Item ID (barcode) and helpful with one word titles that are common words (ex. Orwell's 1984). If your search is not in the database, a message displays that the information was not found or you will be placed in a browse list.
- Keyword searches for all the words you have entered. This uses boolean logic (see Item_Searching,_Strategies)
- Click on Search when you are ready to perform your search.

Viewing Results of Keyword and Exact Searches
- The Hit List Pane will show you the results of your search.
- The default arrangement is by Publication Year with newest on top.
- Clicking on the Title or Author header will rearrange the list.
- When you make a selection in the Hit List Pane, the Viewer Pane shows you information about the selected item.
- The Viewer Pane has two tabs.
[edit]
Description Tab
- This shows quite a bit of information from the bibliographic record; however, we can focus on just a few useful areas such as:
- Author (author already listed in the Hit List pane; however, this author acts as a hyperlink to all works by that author)
- Publication Information
- Subject Headings (act as links to all items that have that subject heading)
- Notes and Summaries
- Physical Description (size of book or length of film)
[edit]
Call Number/Item Tab
- This tab shows useful information such as:
- Call Number & Library
- Item type: (equivalent of DRA Classic Material Code)
- BOOK
- BOOK-ARACK (Adult rack paperback)
- BOOK-JPBK (Juvenile paperback)
- Locations:
- Home: Where the item lives when on the shelf at the library
- Current: Where the item is currently if not on shelf; also the equivalent of DRA Classic status; displays in call number/item tree
- BINDERY
- CHECKEDOUT
- DISCARD (equivalent of DRA Classic Withdrawn)
- HOLDS (on hold shelf)
- ITMCTRL (Item control)
- INTRANSIT
- LOST-ASSUM (Assumed lost)
- MATSVS (Material Services)
- MISSING
- PROBLEM-AV (in agency)
- RECATALOG (being recataloged)
- REPAIR (in agency)
- SNAGS (in agency)
- NOTE: RESHELVING does not show as a current location in Workflows; it will display in EPS.
- Date Created (called Inventory date in DRA Classic)
- Date last charged (not able to be migrated from DRA Classic)
- Last discharged (not able to be migrated from DRA Classic)
- Total Checkouts
[edit]
Viewing Results of Browse Searches
- The Browse search displays a bit differently.
- The Hit List Pane is used to display the alphabetical listing near the vicinity of your search terms.
- Depending on the type of search, this could be an alphabetical listing of titles, authors, subjects, or even call numbers.
- You can scroll up and down from that point.
- The Hit List Pane will also display the Heading Occurrences.
[edit]
Records Tab
- In a Browse search, a third tab is displayed on the Viewer Pane.
- The Records tab shows the information that is usually displayed in the Hit List Pane during a Keyword or Exact search.
- The Description and Call Number/Item tabs work the same.
[edit]
Viewing Detailed Display
- Each item also has a Detailed Display that can be accessed by first selecting the item, then clicking on Detailed Display at the bottom of the screen.
- The Detailed Display shows much of the same information that can be found already via the Search screen.
- The Detailed Display consists of numerous tabs.
- Probably the best use of the Detailed Display will be the ability to find the number of holds currently placed on an item. See Determining How Many Holds are Currently Placed on a Certain Item for more information.
